*FTS* is seeking a highly organized, experienced Executive Administrative Assistant to provide comprehensive administrative support to the senior leadership team.
In this role, you will play a crucial role in ensuring the smooth functioning of our organization by managing day-to-day operations, facilitating effective communication, and handling confidential information with utmost professionalism.
The ideal candidate will possess excellent organizational skills, exceptional attention to detail, and the ability to multitask in a fast-paced environment.
*What You Will Do: * · *Administrative Support* o Manage and maintain the executive team's schedules, appointments, and travel arrangements.
o Coordinate and prioritize meetings, conference calls, and events.
o Prepare and distribute meeting agendas, minutes, and other materials as required.
o Maintain contact lists and keep conference room stocked.
o Provide “gatekeeper” role, providing a bridge for smooth communication between the executive and staff demonstrating leadership to maintain credibility, trust, and support.
· *Communication and Correspondence* o Serve as a point of contact for internal and external stakeholders, maintaining professionalism and confidentiality.
o Facilitate effective communication by handling phone calls, emails, and other inquiries promptly and efficiently.
· *Information Management* o Organize and maintain physical and electronic files, ensuring accurate and timely retrieval of information.
Maintain a comprehensive and up-to-date contact database.
o Handle sensitive and confidential information with discretion and integrity.
· *Travel and Logistics* o Coordinate travel arrangements, including flights, accommodations, and transportation, for executive/direct reports and occasionally visiting guests.
o Prepare expense reports for multiple executives.
o Arrange logistics for meetings, conferences, and other events, both on-site and off-site.
· *Meeting and Event Support* o Schedule, coordinate, and prepare for executive-level meetings, including securing venues, catering, and audiovisual equipment as necessary.
o Attend meetings, take minutes, and enter action items in the “Action Tracker" assigning a task to a specific person.
o Track action items and ensure timely follow-up.
· *Relationship Management* o Build and maintain positive relationships with internal teams, external partners, clients, and vendors.
· *Special Projects and Research* o Assist executive/direct reports with ad hoc projects, research, and presentations.
o Compile data, conduct analysis, and prepare reports as required.

*What We’d Like You to Have: * · Proven experience as an Administrative Assistant or similar role, *supporting senior-level executives.
* · Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
· Excellent written and verbal communication skills, including exceptional attention to detail and grammar.
· Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software and tools.
· Discretion and confidentiality when handling sensitive information.
· Ability to work independently and collaboratively in a team environment.
· Strong problem-solving skills and the ability to adapt to changing priorities.
· Professional demeanor, with excellent interpersonal and relationship-building abilities.
· Flexibility to work occasional evenings as required.
· Bachelor's degree or equivalent experience preferred.
