*Overview *
The Executive Personal Assistant at Kirkpatrick Partners plays a crucial role in supporting our busy owner.
As the owner of multiple brands, she manages multiple inboxes, calendars, meeting invitations, and speaking engagements, and a young family.
This role involves supporting the CEO in maintaining her inboxes, calendars, schedule, as well as running personal errands.
You will be working hybrid with remote and in person days from her home in the Boca Raton/Parkland area.
There will be chaos as the CEO is moving into the area in July from out of state and typically there is always lots happening, so we are looking for someone who can roll up their sleeves, help, shift, prioritize, and keep the wheels on the bus! Bonus points if you are crafty because the CEO is not!!
If you have a love for Tiktok, the 90s, food, and family you will fit right in! We have a great team dynamic and the person that will be entering this role will be integral to the team and her life, so making sure the fit is right on both sides is very important.
This role will be run out of the CEO's home office during in person days.
*Responsibilities:*
*Administrative Support*
* Be the main point of contact for the CEO
* Screen all incoming messages including emails and file the emails to flag the ones that need responses, are for FYI only, and file the rest, as well as responding to emails as authorized
* Support the CEO with meeting preparation, public event preparation, and take notes/action items
* Order supplies
* Plan gatherings, and order gifts/swag
* Schedule meetings and events
* Maintain calendar with personal and work commitments
* Make travel arrangements and itineraries, and keep them up to date
* Pull data and run reports as needed
*Personal Assistance*
* Manage, schedule and oversee work of services/vendors, as needed
* Run errands (pickups, drop offs)
* Sort, scan, and purge mail
* Handle all post office mailing
* Pet management
* Schedule personal appointments
* Ordering household items such as groceries and keeping it organized
*Protect the CEOs time/energy*
* Manage schedule to optimize time/resources
* Maintain and protect blocks of uninterrupted time
* Ensure filming happens!
*Qualifications:*
* Minimum High School diploma
* Certificate in office administration or management is preferred
* Proven experience as a personal executive assistance
* Proficient in Microsoft Office, Slack, ClickUp
* Good phone and email etiquette
* Ability to multi-task and shift priorities
* Strong planning and organizational skills
* Great at calendar management and balancing
* Excellent communication and customer service skills
* Proactive
* Detail-oriented
* Positive energy and ability to be the hype person for the CEO when needed
* Protective of energy and time
* Great with kids in elementary school
*Note:*
The CEO has not moved into the area yet from out of state.
This role will start remote and once she is in Florida, will shift to hybrid to support the in person activities.
You may be required to run errands before she arrives to support in the transition to Florida.
